When do we serve coffee? It seemed so clear in my head\u201d.<\/p>\n<p id=\"\">This may sound pretty familiar for first time event organizers (and occasionally the seasoned ones too): trying to transform the list of ideas into a coherent plan.<\/p>\n<p id=\"\">But putting in the time to plan is worth it:<\/p>\n<ul id=\"\">\n<li id=\"\">Virtual and hybrid events allow event planners to access greater reach and increased sponsorship opportunities at a reduced cost, with a large majority (79%) of companies continue hosting hybrid events as a core part of their event strategy.<\/li>\n<\/ul>\n<p id=\"\">Hybrid events are a little bit like a magical pair of jeans that fit and look great on everyone. (<em id=\"\">Sisterhood of the Hybrid Event<\/em> does have a nice ring to it, doesn\u2019t it?)<\/p>\n<p id=\"\">But while hybrid events can drive high engagement and wide reach while reducing physical and financial barriers, unfortunately they\u2019re not actually magic. They have to be made \u2014 one stitch at a time.<\/p>\n<p id=\"\">Maximizing the impact of your hybrid events requires following a blueprint for success. In this article, we\u2019ll go through what each state of that process looks like, as well as how to put it all together.<\/p>\n<h2 id=\"\" class=\"heading h2\"><a id=\"what\"><\/a>What is a hybrid event?<\/h2>\n<p id=\"\">A hybrid event <strong id=\"\">combines in-person and virtual experiences<\/strong> to create an immersive space and interactive dialogue for all attendees \u2014 regardless of whether they join and participate in-person or online.<\/p>\n<p id=\"\">There are three components that can make an event hybrid:<\/p>\n<ul id=\"\">\n<li id=\"\">It includes<strong id=\"\"> a variation of in-person and online experiences<\/strong><\/li>\n<li id=\"\">Online and on-site attendees can <strong id=\"\">interact<\/strong> with presenters, sponsors, and their fellow event community<\/li>\n<li id=\"\">Event content is at least <strong id=\"\">partially live<\/strong><\/li>\n<\/ul>\n<h2 class=\"heading h2\"><a id=\"event-checklist\"><\/a>Event checklist<\/h2>\n<p id=\"\">Because this event format is unique, it requires an <a href=\"https:\/\/www.ringcentral.com\/us\/en\/blog\/pre-event-checklist\/\">event checklist<\/a> that\u2019s a little different than your in-person or virtual event planning checklist.<\/p>\n<h3 class=\"heading h3\"><a id=\"event-planning\"><\/a>Event planning: 3-6 months before your event<\/h3>\n<p id=\"\">When would you like to have your event? If you haven\u2019t decided yet, give yourself a few months if possible.<\/p>\n<p id=\"\">Having 3-6 months of lead time allows you to get thoroughly organized and get your event planning kicked off the right way. Here\u2019s where to start:<\/p>\n<h4 class=\"heading h4\">Set your goals, KPIs, and measures for success<\/h4>\n<p id=\"\"><strong id=\"\">Set a vision:<\/strong><\/p>\n<p id=\"\">Before you start planning, you want a clear sense of why you\u2019re doing all this work. Looking through a strategic business lens:<\/p>\n<ul id=\"\">\n<li id=\"\">What do you want to accomplish with this event?<\/li>\n<li id=\"\">Why host this event?<\/li>\n<li id=\"\">What value can you provide your audience?<\/li>\n<li id=\"\">How do you envision creating attendee value will impact your organization?<\/li>\n<\/ul>\n<p id=\"\"><strong id=\"\">Determine strategic goals<\/strong>:<\/p>\n<p id=\"\">Like any other investment, <a href=\"https:\/\/www.ringcentral.com\/us\/en\/blog\/setting-event-goals\/\">it\u2019s ideal to have a goal<\/a>, or business impact, defined for your event beforehand to measure your efforts against.<\/p>\n<p id=\"\">Common business outcomes and goals include: increasing brand awareness, generating leads, contributing to pipeline revenue, driving sales, and boosting media and analyst coverage, among others.<\/p>\n<h4 class=\"heading h4\"><strong>Identify quantitative Key Performance Indicators (KPIs):<\/strong><\/h4>\n<p id=\"\">What KPIs will you attach to those strategic goals? That\u2019s how you\u2019ll actually measure how you\u2019re tracking toward success. Which metric will be the most important to you?<\/p>\n<p id=\"\">Maybe you\u2019ll be monitoring the number of registrations, attendees, traffic to your website, social mentions and followers, MQLs, influenced pipeline dollars, or a combination.<\/p>\n<h4 class=\"heading h4\">Define your audience<\/h4>\n<p id=\"\"><strong id=\"\">Know who your event is for: <\/strong><\/p>\n<p id=\"\"><strong id=\"\">\u200d<\/strong>Develop a <a href=\"https:\/\/www.ringcentral.com\/us\/en\/blog\/how-to-find-your-target-audience\/\">target audience<\/a> for your event by creating attendee profiles, or personas.<\/p>\n<p id=\"\"><strong id=\"\">Understand why they\u2019ll be interested in your event:<\/strong><\/p>\n<p id=\"\">At the end of the day, each decision you make should focus on creating value for your attendees \u2014 the speakers you select, the sponsors you attract, the content and programming you choose, and the online or in-person environments, or experiences, you create.<\/p>\n<p id=\"\">What\u2019s in it for each of those groups?<\/p>\n<p id=\"\"><strong id=\"\">Dig into data:<\/strong><\/p>\n<p id=\"\">You can leverage primary audience data (like insights from your event platform) as well as secondary sources (like research and surveys).<\/p>\n<p id=\"\">Data-driven insights from prior events can help inform the most popular topics, key influencers, impactful speakers, and more. Consider information around attendees\u2019 professional roles, overall demographics, needs, pain points, and the like.<\/p>\n<h4 class=\"heading h4\">Determine your budget<\/h4>\n<p id=\"\"><strong><a href=\"https:\/\/www.ringcentral.com\/us\/en\/blog\/event-budget-guide\/\">Set a preliminary budget:<\/a><\/strong><\/p>\n<p id=\"\">An early budget should provide initial parameters and identify all expenses that carry an actual cost. Will I have the option to customize the online and mobile event environment to ensure I can make a visual brand impression for my attendees?<\/li>\n<li id=\"\"><strong id=\"\">Sponsor experience: <\/strong>Will the event platform provide ways for sponsors to drive interest in their offerings?
