Know when it\u2019s time to use email\u2014and when it\u2019s not<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Email has changed from its initial uses\u2014it\u2019s become less of a tool for efficient back-and-forth communication and more of a tool for sharing information, especially when it doesn\u2019t require a response.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">With tools like <a href=\"https:\/\/www.ringcentral.com\/us\/en\/blog\/the-best-video-conferencing\/\" target=\"_blank\" rel=\"noopener noreferrer\">video conferencing software<\/a> and <a href=\"https:\/\/www.ringcentral.com\/us\/en\/blog\/instant-messaging-programs\/\" target=\"_blank\" rel=\"noopener noreferrer\">messaging apps<\/a> (among many, many others), connecting with others can be done instantly. Besides, waiting for a response via email can halt your workflow and deal a huge blow to your productivity. Let\u2019s look at some scenarios:<\/span><\/p>\n<ul>\n<li><i><span style=\"font-weight: 400;\">You want to invite your team to an event, like a webinar or to hear a keynote speaker. Should this be an email?<\/span><\/i><\/li>\n<\/ul>\n<p><b>Yes!<\/b><span style=\"font-weight: 400;\"> Sending event invites through email is ideal, since so many of us have our calendars synced with our email client. Recipients can easily RSVP and add the event to their calendar right from the body of the email, whereas if you sent it as a message or only talked about it over the phone, some people might forget about it and miss out. Streamlining processes is <a href=\"https:\/\/www.ringcentral.com\/us\/en\/blog\/how-to-increase-productivity\/\" target=\"_blank\" rel=\"noopener noreferrer\">fuel for productivity<\/a>!<\/span><\/p>\n<ul>\n<li><i><span style=\"font-weight: 400;\">You need to check in with a colleague to see how an assignment is coming along. Should this be an email?<\/span><\/i><\/li>\n<\/ul>\n<p><b>Maybe not this time. <\/b><span style=\"font-weight: 400;\">For quick check-ins or questions that have short answers, don\u2019t waste your time thinking of a subject line and a formal email, complete with an intro, action item, and a follow-up note. Send them a chat. It\u2019s easier, faster, and it gives you more room to be casual and have a longer conversation, if needed.\u00a0<\/span><\/p>\n<p><b>Pro-tip<\/b><span style=\"font-weight: 400;\">: When words don\u2019t cut it, try a GIF. Some messaging apps have built-in integrations that let you quickly search for and add a funny GIF to a conversation. (Perfect if you have friends at work who you share inside jokes with.) This is an especially important step if you&#8217;re scheduling meetings with people outside of your business or who aren&#8217;t using the same communication app that you use.<\/span><\/p>\n<ul>\n<li><i><span style=\"font-weight: 400;\">Someone emails you something that doesn\u2019t require a follow-up, but you want to acknowledge it. Should you send an email?<\/span><\/i><\/li>\n<\/ul>\n<p><b>Not necessary!<\/b><span style=\"font-weight: 400;\"> If you receive an information-only email, you don\u2019t need to reply back \u201cGot it, thanks\u201d or some version of that. The person on the other end trusts that you will see it and that you&#8217;ll reference it if you need to.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you still want to tell them you saw it, send them a quick chat: \u201cHey, saw your email. Thanks for the info! Super helpful.\u201d Keep it light and casual. Avoid checking your email first thing in the morning or right before bed<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">If you\u2019re waking up and checking email, you\u2019re setting the tone of the day: stressing over what you need to do for the day or reading a not-so-nice email from a coworker. And <\/span><span style=\"font-weight: 400;\">too much stress can put a damper on your productivity<\/span><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The same goes for when you\u2019re checking email right before you fall asleep when you\u2019re venturing off into dreamland.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">We suggest scheduling time in your day\u2014yes, literally blocking time in your calendar\u2014where you can read and address emails:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><b>An hour into your workday<\/b><span style=\"font-weight: 400;\">\u2014settle into your day, get the things off your plate that are weighing on you, whether that\u2019s taking a final look at a presentation you\u2019re creating or finishing up registering for that webinar. Get the quick, easy victories out first, so you can start off feeling accomplished!<\/span><\/li>\n<li style=\"font-weight: 400;\"><b>An hour before the end of your scheduled workday<\/b><span style=\"font-weight: 400;\">\u2014if you\u2019re scheduled to work until 5, check it at 4. We suggest avoiding right before you end your day because if you see an email from earlier for something that is due by EOD or something you know will only take a half hour to knock out, you are still doing it within your day, and not working overtime.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">If you\u2019re feeling like this isn\u2019t enough, or if you\u2019re still working on email withdrawal, throw in a midday check <\/span>right when you come back from lunch<span style=\"font-weight: 400;\">. You\u2019re not hungry (or hangry), so you can check your email with a clear mind. If there are things that need to be done by the end of the day, you have enough time to get started and hopefully finish, or at least set expectations with others for when it can be finished.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Extra points for <\/span><i><span style=\"font-weight: 400;\">closing <\/span><\/i><span style=\"font-weight: 400;\">your email client between these hours\u2014you don\u2019t want to be tempted to check every twenty minutes, just to make sure you didn\u2019t miss anything.
