Whether you need someone to review what you\u2019ve done, or you want to make updates to someone else\u2019s files, you can do so with the <i>Share<\/i> feature.<\/p>\n<p>To share files or folders, select them (that\u2019s right, you can select more than one at a time by holding down the <i>Cmd<\/i> key on a Mac or <i>Ctrl<\/i> key on a PC) in your Drive, right-click, and select <i>Share<\/i>.<\/p>\n<p><img decoding=\"async\" class=\"aligncenter wp-image-5294 size-large\" src=\"\/us\/en\/blog\/wp-content\/uploads\/2020\/07\/image8-44-891x1024.png\" alt=\"Google Drive: Share files and folders \" width=\"840\" height=\"965\" \/><\/p>\n<p>After you add in the names of individuals or groups to share to, they\u2019ll get a notification to let them know they can access your document(s).<\/p>\n<p>By default, anyone you add will gain <i>Editor<\/i> access, which means they can make changes to your files and further share the document(s) with others.<\/p>\n<p>But if you\u2019re sending a file to a client for instance and just want them to be able to see it without making changes, then this brings us to our next hack\u2026<\/p>\n<h4>15. Adjust access levels<\/h4>\n<p>With shared files, there are three access levels you can choose from as the Owner:<\/p>\n<ul>\n<li>View: Users can see the document but can\u2019t make changes to it or delete it.<\/li>\n<li>Comment: Users can see the document and make comments to it but can\u2019t make edits or delete the document.<\/li>\n<li>Edit: Users have full access to make comments and changes to the document,<\/li>\n<\/ul>\n<p>To adjust these access levels, select the shared file or folder, right click, and select <i>Share<\/i>. From here, make the changes through the drop-down menu to the right of each listed collaborator.<\/p>\n<p><img decoding=\"async\" class=\"\" src=\"\/us\/en\/blog\/wp-content\/uploads\/2020\/07\/image21-5-1024x706.png\" alt=\"Google Drive: Share with people and groups\" width=\"588\" height=\"405\" \/><\/p>\n<h4>16. Share with those outside of your business<\/h4>\n<p>If you\u2019re working with files that you need to share with a prospect, customer, or anyone outside of your business, you can get a sharable link in under two seconds.<\/p>\n<p>Just right-click on your file, go to <i>Share,<\/i> and you\u2019ll see the pop-up for <i>Get Link<\/i>.<\/p>\n<p><img decoding=\"async\" class=\"size-large wp-image-5296 aligncenter\" src=\"\/us\/en\/blog\/wp-content\/uploads\/2020\/07\/image4-99-1024x211.png\" alt=\"Google Drive: Share file with people outside of your business\" width=\"840\" height=\"173\" \/><\/p>\n<p>All you have to do is click <i>Copy link <\/i>and it\u2019ll be ready for you to paste into your email or instant messaging for sending off.<\/p>\n<p>If you want to adjust the permission settings for the link, click on <i>Change<\/i> to choose from two options:<\/p>\n<ul>\n<li>Restricted: Those who have the link still need access permissions to see the file.<\/li>\n<li>Anyone with the link: Anyone on the internet with this link can view.<\/li>\n<\/ul>\n<h4>17. Revert to previous versions<\/h4>\n<p>When you have multiple people working on the same document and uploading different versions of it to Drive, things can get pretty confusing.<\/p>\n<p>For instance, after you and your coworker close a sales deal, you upload the contract with the final signatures titled \u201cSalesContractFinal.doc\u201d to Drive. Your coworker, having the same idea, also uploads \u201cSalesContractFinal.doc\u201d to the same folder, except he adds the wrong version without the signature.<\/p>\n<p>What happens? Within Google Drive, the second upload will overwrite the first one, so that only one file still exists.<\/p>\n<p>To revert back to the original signed file, you can use a feature called <i>Manage versions<\/i>.<\/p>\n<p>Right click on the file and select <i>Manage versions<\/i> to save and restore recent versions (up to 30 days, unless you choose to <i>Keep forever<\/i>).<\/p>\n<p><img decoding=\"async\" class=\"size-full wp-image-5297 aligncenter\" src=\"\/us\/en\/blog\/wp-content\/uploads\/2020\/07\/image9-33.png\" alt=\"Google Drive: Revert to previous versions\" width=\"546\" height=\"501\" \/><\/p>\n<h4>18. Set up Team Drives<\/h4>\n<p>Team Drives is an awesome collaborative feature that\u2019s useful for larger businesses looking for quicker ways to manage files access across different teams.<\/p>\n<p>The single most important benefit of Team Drives is that files stored in the Drive belong to the team, rather than the individual. This means that even if a team member leaves your business, their files will stay in Team Drive for anyone to access.<\/p>\n<p>To create a new Team Drive, hover over the label in the left-hand panel and click <i>New<\/i>. Give your new Drive a name and hit <i>Create<\/i>.<\/p>\n<p><img decoding=\"async\" class=\"size-large wp-image-5298 aligncenter\" src=\"\/us\/en\/blog\/wp-content\/uploads\/2020\/07\/image29-3-1024x537.png\" alt=\"Google Drive: Create new team drive\" width=\"840\" height=\"441\" \/><\/p>\n<p>Once you\u2019ve made your new Drive, select <i>Add Members<\/i> to start inviting people to access it.<\/p>\n<p><img decoding=\"async\" class=\"size-large wp-image-5299 aligncenter\" src=\"\/us\/en\/blog\/wp-content\/uploads\/2020\/07\/image22-4-1024x520.png\" alt=\"Google Drive: Add members to your team drive\" width=\"840\" height=\"427\" \/><\/p>\n<p>One way to use this is to store onboarding documents for a whole department. For instance, if you\u2019re the\u00a0 marketing lead, you can create a Team Drive as the admin and add your team members to it. They\u2019ll be able to contribute and update files that are helpful for new hires to see such as team structures, administrative how-tos, and so on.<\/p>\n<p>Note that Team Drives is only available for those who\u2019ve upgraded their free version to the paid <a href=\"https:\/\/gsuite.google.com\/intl\/en_ca\/pricing.html\" target=\"_blank\" rel=\"noopener noreferrer\">Business<\/a> one.<\/p>\n<h4>19. Share files right from your chat team<\/h4>\n<p>In the world of instant messaging, discussions tend to move pretty quick. Unlike email, there\u2019s an expectation to send and receive information\u2014you guessed it\u2014<i>instant<\/i>ly. Even though looking for a presentation in your Google Drive to send over is pretty low effort, it can still feel like a major time-drain in the moment.<\/p>\n<p>If you\u2019re a RingCentral app user, you\u2019re in luck. Backup &amp; Sync files<\/h4>\n<p>With <a href=\"https:\/\/www.google.com\/drive\/download\/\" target=\"_blank\" rel=\"noopener noreferrer\">Backup &amp; Sync<\/a> installed, you can access Google Drive files directly on your computer when offline. It can also create backups of your local files and store them in Google Drive. Think of this as a safety net solution.<\/p>\n<p><img decoding=\"async\" class=\"size-large wp-image-5301 aligncenter\" src=\"\/us\/en\/blog\/wp-content\/uploads\/2020\/07\/image19-7-1024x876.png\" alt=\"Google Drive: Backup &amp; Sync files\" width=\"840\" height=\"719\" \/><\/p>\n<p>The magic here is in the <i>Syncing<\/i>. Once you\u2019ve selected which folders you want to backup, these will <i>continuously<\/i> back up in the background as you work.<\/p>\n<p>This means you don\u2019t have to remember to upload your files every so often in the case your computer crashes and your files get lost.<\/p>\n<p>It also means you can access your files at any time, even if you\u2019re not connected to the internet.<\/p>\n<p>Speaking of&#8230;<\/p>\n<h4>21.
