Yet at heart, Office is a phone system.<\/p>\n<p>Let&#8217;s follow an incoming call from start to finish to explain how the RingCentral system handles calls.<\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-13103\" src=\"\/us\/en\/blog\/wp-content\/uploads\/2020\/07\/voip-calls-e1390861112803.jpg\" alt=\"voip calls\" width=\"600\" height=\"400\" \/>First, a call to your company number (i.e., your main <a href=\"https:\/\/www.ringcentral.com\/business-phone-numbers.html\">business number<\/a>) will hit your Auto-Receptionist. The Auto-Receptionist serves the exact purpose its name implies: it greets callers, providing information about your business (you can record a customized greeting) and prompting them to enter an extension or a group (a.k.a. department) number.<\/p>\n<p>(You don&#8217;t have to configure extensions or call groups &#8211; you can set calls to forward directly from the Auto-Receptionist to one extension, if you prefer.)<\/p>\n<p>Let&#8217;s assume you do have a couple groups and several extensions on your RingCentral account. Departments are higher in the organizational hierarchy than extensions, but the system refers to both as extensions &#8211; that&#8217;s why naming extensions and groups accurately is important.<\/p>\n<p>In the below example (reached at Settings &gt; Phone System &gt; Auto-Receptionist &gt; Operator Extension), &#8220;Sales&#8221; is a group. The other three items in the list are extensions.<\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-13100\" src=\"\/us\/en\/blog\/wp-content\/uploads\/2020\/07\/2014-01-27_13-51-37-e1390859550653.png\" alt=\"2014-01-27_13-51-37\" width=\"600\" height=\"245\" \/>If a caller were to dial my account and press &#8220;1&#8221; at the Auto-Receptionist prompt, he or she would reach my &#8220;Sales&#8221; group. To this group I can add whichever extensions I want. (Learn more about adding members to a group by\u00a0<a href=\"https:\/\/success.ringcentral.com\/RCSupportPortalLearningCenter?LCtabId=settings_10\" target=\"_blank\" rel=\"noopener noreferrer\">clicking this link<\/a>.)<\/p>\n<p>Alternatively, the caller could enter 101 to reach me directly, or press 103 to reach a mailbox-only extension I configured. The RingCentral system &#8220;listens&#8221; for a couple seconds for dial tones &#8211; this is why there is a brief delay on entering an extension number. Extensions can have as many as five digits.<\/p>\n<p>Once the Auto-Receptionist hands calls off to a group or an extension, call handling rules for that group or extension will take effect. Both can have unique hours, greetings, forwarding numbers and more. Configuring groups and extensions is similar &#8211; remember that groups are made up of multiple extensions &#8211; but for more information, visit the <a href=\"https:\/\/success.ringcentral.com\/RCSupportPortalLearningCenter?LCtabId=settings_14\" target=\"_blank\" rel=\"noopener noreferrer\">User Settings<\/a> and <a href=\"https:\/\/success.ringcentral.com\/RCSupportPortalLearningCenter?LCtabId=settings_7\" target=\"_blank\" rel=\"noopener noreferrer\">Department Settings<\/a> sections of the RingCentral Support Center.<\/p>\n<p>It&#8217;s possible to have a desk phone or softphone linked to a single extension &#8211; in fact, that&#8217;s the default configuration. You can also set a third-party phone (like a cell phone) as the forwarding number for multiple extensions.
