It definitely looks good on paper, no more time wasted commuting, the ability to adjust the thermostat your own liking, and working in pajamas (at least for employees who don&#8217;t do video conferencing).\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">There are benefits for companies that hire remote workers or allow staff to work from home at least a few days a week. A recent <\/span><a href=\"https:\/\/www.inc.com\/scott-mautz\/a-2-year-stanford-study-shows-astonishing-productivity-boost-of-working-from-home.html\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Stanford University study<\/span><\/a><span style=\"font-weight: 400;\"> proved that remote workers are far more productive, adding up to a full work day&#8217;s worth of productivity each week. In addition, the two-year-long study found that each remote worker saves each company an average of $2,000 per employee by reducing the <a href=\"https:\/\/www.portico.com\/rent\/\">cost of rent<\/a> and other utilities.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Employees love it, productivity goes up, and your company saves thousands of dollars\u2014 it sounds like a dream come true for companies, too.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">However, shifting to a remote or partially remote workforce is not a decision that should be taken lightly.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you are considering giving your staff the option to work from home either full or part-time, you need to develop a work from home policy that outlines who is able to work from home, how often they can work from home, as well as address the considerations below.\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Determine if It is a Good Fit For Your Company\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Before you implement your work from home policy, make sure it is a good fit for your company. For example, if your company relies heavily on face-to-face interactions with team members or clients, a full work from home workforce wouldn&#8217;t make much sense, unless you found <\/span><span style=\"font-weight: 400;\">team collaboration tools<\/span><span style=\"font-weight: 400;\"> to meet your needs remotely.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">To organise your thoughts, consider <\/span><span style=\"font-weight: 400;\">using a mind map<\/span> to list company goals, culture, and other concerns that may impact whether a <a href=\"https:\/\/talkingtalent.prosky.co\/articles\/the-best-ways-to-evaluate-remote-employees\">remote workforce<\/a> is the right choice for your brand. If that is the case for your company, you might consider how remote work might impact the company culture. Look for options to encourage a team mentality, such as open office hours once a week or a virtual team-building experience.\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Establish Eligibility Requirements<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">At most companies, remote work is considered a perk. If your company plans to maintain an office, not all employees will work from home. So, who will be permitted to take advantage of the work from home policy?\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Consider creating eligibility standards for remote workers \u2014 just like it isn&#8217;t a good fit for all companies, it might not be a good fit for all employees. Some office-based employees might struggle with isolation as a remote worker, or not have a home situation that supports remote work. Others might simply prefer to work in an office space, and that is okay.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Eligibility requirements will vary based on your industry, however, they might include:\u00a0<\/span><\/p>\n<ul>\n<li><b>Office with a closeable door: <span style=\"font-weight: 400;\">For team members who take calls, this one is particularly important. For the best chance of success, workers should have a quiet area where they can work undisturbed.\u00a0<\/span><\/b><\/li>\n<li style=\"font-weight: 400;\"><b>Full-time childcare:<\/b><span style=\"font-weight: 400;\"> Parents cannot be productive while supervising their children on a full-time basis. It is in the best interests of the parents and the company to ensure children are being cared for by someone other than the remote worker. (Special exceptions may be made for snow days, for example.)\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><b>Reliable phone service:<\/b><span style=\"font-weight: 400;\"> Especially for phone-based workers, a stable phone connection is critical. Keep in mind that some internet and cell phone providers&#8217; service can be spotty, so make sure employees use a service that is reliable in their area. You might also look into <\/span><span style=\"font-weight: 400;\">conference bridge calls<\/span><span style=\"font-weight: 400;\"> to connect remote teams to a virtual meeting room.<\/span><\/li>\n<li style=\"font-weight: 400;\"><b>High internet speeds:<\/b><span style=\"font-weight: 400;\"> You want employees to be able to be productive, so ensuring they have a stable, fast internet provider is a must.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><b>Seniority:<\/b><span style=\"font-weight: 400;\"> New employees may do better when given time in office to adjust to the work and the company culture. Unless you have a fully remote team, consider requiring workers to work in the office for the first 30 to 90 days. This will allow you to give them the training and support they need to be successful.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><b>Productivity:<\/b><span style=\"font-weight: 400;\"> While the majority of workers tend to be far more productive as remote workers, this may not be the case for all. Be sure to set productivity goals and reach out to workers who are unable to meet them. Do they need more support? Are they having technical issues? Or are they simply more productive in an office environment?\u00a0<\/span><\/li>\n<\/ul>\n<h2><span style=\"font-weight: 400;\">Equipment Policies\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">When it comes to equipment, there is a lot to cover. Most remote workers will need a laptop, headset, and phone system. But, who supplies them? What happens if items break?\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">It is in your company&#8217;s best interests to provide all essential tools for employees to do their jobs. It may even be required by law, depending on your location.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">But, also consider the following questions as you write your equipment policy.\u00a0<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">What equipment do your employees need to be successful?\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">What happens if the equipment fails?\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Where can equipment be stored? (For example, is leaving a laptop in a car okay, or does it need to be stored in a sucre location?)<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">How will software updates be supplied? For example, will the employee need to travel to the office, or can updates be done remotely?\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">How do employees reach tech support?\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Will additional office supplies be reimbursed? For example, pens, paper, printer ink?\u00a0<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Also, include equipment security policy. For example, do laptops need to be locked down when the employee leaves the room? In what situations might an employee be held liable for equipment that is broken or stolen?\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Safety Policies\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Office-based employees are protected by specific rules and regulations, as outlined by the <\/span><a href=\"https:\/\/www.hse.gov.uk\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Health and Safety Executive<\/span><\/a><span style=\"font-weight: 400;\">. Regulations might include making sure employees know where fire exits are and verifying that fire sprinklers are installed.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">At home, these policies are not required. However, companies should still make a good-faith effort to ensure their employees are safe when working from home. The US site Telework.gov suggests companies with remote workers fill out a <\/span><a href=\"https:\/\/www.telework.gov\/federal-community\/telework-employees\/safety-checklist\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">safety checklist<\/span><\/a><span style=\"font-weight: 400;\"> at least twice per year.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Consider creating a checklist to check for the following hazards and safety features:\u00a0<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Sufficient electrical outlets<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Cords out of walkways\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Plugs, cords, and outlets in good working order, with no exposed wires<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Established evacuation plans\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Workspace is clear from flammable materials\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Working smoke and carbon monoxide detector\u00a0<\/span><\/li>\n<\/ul>\n<h2><span style=\"font-weight: 400;\">Set Policies for Time Management\u00a0\u00a0\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Remote workers are more productive and less likely to take time off from work. Despite the lack of office distractions, some workers may find working from home makes it easier for them to get distracted by funny videos online or last night&#8217;s dishes.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Successful remote work policies should include policies and tools for tracking employee&#8217;s productivity. Productivity can be measured in a variety of ways, and the best method will depend on the work your employees do.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">For example, you\u00a0 might track:\u00a0<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Time on project\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Number of cases resolved<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Number of calls taken\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Bugs fixed\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Response time\u00a0<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Make it easy for employees to take control of their time by suggesting (or even paying for) a <\/span><a href=\"\/gb\/en\/blog\/call-message-meet-all-from-single-app\/\"><span style=\"font-weight: 400;\">time management app<\/span><\/a><span style=\"font-weight: 400;\">, books on productivity, or <\/span><span style=\"font-weight: 400;\">training related to working more efficiently<\/span><span style=\"font-weight: 400;\">.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you set productivity metrics, make sure to focus on statistics that do not encourage undesirable behaviours.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">For example, a cable company might focus on phone reps call time. While the actual goal might be to encourage efficiency if the metrics are too strict it might result in reps ending calls before the customer is satisfied.\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Consider Security Issues\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">Cyber attacks and digital security issues are on the rise. For example, remote teams can chat and share GIFs through a tool like <a href=\"https:\/\/www.ringcentral.com\/teams\/overview.html\">Glip<\/a>, which helps organize conversations.\u00a0<\/span><br \/>\n<span style=\"font-weight: 400;\">Here is a more industry-specific example.
