But what are breakout rooms, and how can you use them to improve communication and participation?\u00a0<\/span><\/p>\n<h2><strong>What are breakout rooms?<\/strong><\/h2>\n<p><span style=\"font-weight: 400;\">Put simply, breakout sessions are sessions that split off from the original meeting. The <\/span><strong><a href=\"https:\/\/www.ringcentral.com\/au\/en\/blog\/how-to-host-remote-meetings-guide\/\">meeting host<\/a><\/strong><span style=\"font-weight: 400;\"> can create breakout rooms that are totally isolated from the main session and pre-assign participants to join. There, they can collaborate via separate sessions and work on allocated tasks, discussions, or exercises.\u00a0<\/span><\/p>\n<h2><strong>How to enable breakout rooms<\/strong><\/h2>\n<p><span style=\"font-weight: 400;\">So, how do you enable breakout rooms? To begin:<\/span><\/p>\n<ol>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Log in to your account.<\/b><span style=\"font-weight: 400;\"> The first step is to log in to your RingCentral online account.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Go to <\/b><a href=\"https:\/\/www.ringcentral.com\/au\/en\/blog\/online-meeting-etiquette\/\"><b>Meetings<\/b><\/a><b> &gt; Meeting Settings &gt; Meeting.<\/b><span style=\"font-weight: 400;\"> From your admin tab, go to \u2018meetings\u2019, \u2018meeting settings\u2019, then select \u2018meeting\u2019 from the meeting options.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Go to Meeting (Advanced) Settings.<\/b><span style=\"font-weight: 400;\"> Scroll through the options till you find the \u2018In Meeting (Advanced)\u2019 section.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><b>Create a breakout room.<\/b><span style=\"font-weight: 400;\"> Once there, you\u2019ll see the breakout rooms icon, which allows you to turn on the breakout room feature.<\/span><\/li>\n<\/ol>\n<h2><strong>How to manage breakout room features<\/strong><\/h2>\n<p><span style=\"font-weight: 400;\">Now you know how to enable breakout rooms, let\u2019s discuss how to manage some of their specific features.\u00a0<\/span><\/p>\n<p><img decoding=\"async\" class=\"aligncenter wp-image-32379 size-full\" src=\"\/au\/en\/blog\/wp-content\/uploads\/2022\/03\/how-to-manage-breakout-rooms.jpg\" alt=\"How to Manage Breakout Rooms - RingCentral Platform\" width=\"609\" height=\"349\" \/><\/p>\n<h3><strong>Creating a breakout room\u00a0<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Click on \u2018<\/span><b>Breakout Rooms<\/b><span style=\"font-weight: 400;\">\u2019<\/span> <span style=\"font-weight: 400;\">and choose the number of breakout rooms you want to create (up to a maximum of 50).<\/span><\/p>\n<h3><strong>Assigning participants\u00a0<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Choose to have participants assigned automatically by the system or manually. If you opt to do this manually, hover over the participant&#8217;s name in room settings and click \u2018<\/span><b>Assign To<\/b><span style=\"font-weight: 400;\">\u2019.<\/span><\/p>\n<h3>Renaming\/deleting breakout rooms<\/h3>\n<p><span style=\"font-weight: 400;\">You can choose to rename rooms for easy identification or delete and close all rooms if they\u2019re no longer needed.\u00a0<\/span><\/p>\n<h3><strong>Moving participants into rooms\u00a0<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Individuals don\u2019t need to stay in the same room for an entire breakout room session. To move participants to a new or different room, hover over their name and click \u2018<\/span><b>Move to or Exchange\u2019.<\/b><\/p>\n<h3><strong>Re-creating or adding a breakout room\u00a0<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">If you delete rooms, you can choose to recreate them or add new ones. Click \u2018<\/span><b>Add a Room\u2019<\/b><span style=\"font-weight: 400;\"> to make a new room then assign participants as needed.<\/span><\/p>\n<h3><strong>Opening all rooms\u00a0<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">If you click \u2018<\/span><b>Open All Rooms<\/b><span style=\"font-weight: 400;\">\u2019, you can see participants who are still in the main room and have yet to join a breakout session.\u00a0<\/span><\/p>\n<h3><strong>Broadcasting a message\u00a0<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Click \u2018<\/span><b>Broadcast a Message to All<\/b><span style=\"font-weight: 400;\">\u2019 to message every participant e.g. if you want to let people know the countdown for finishing their tasks.\u00a0<\/span><\/p>\n<h2><strong>Three reasons to utilise breakout rooms<\/strong><\/h2>\n<p><span style=\"font-weight: 400;\">So, why might you want to use breakout rooms?\u00a0<\/span><\/p>\n<h3><strong>Collaboration<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Breakout rooms offer a great opportunity to foster collaboration. This is especially advantageous if you have projects requiring team members from across your organisation. Breakout rooms can teach them to work in tandem and identify strengths and weaknesses.\u00a0<\/span><\/p>\n<h3><strong>Socialising\u00a0<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Staff may socialise at break times or during their lunch hour, but that tends to be in localised groups. Organising breakout rooms for socialisation helps foster a better team spirit across your organisation and improve understanding of company culture and values.\u00a0<\/span><\/p>\n<h3><strong>Engagement<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">By breaking teams into smaller groups, and swapping those units around as needed, you make it easier to engage with individuals and for them to engage with each other. Provide clear instructions\u00a0<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Participants must be aware of expectations. That means giving clear instructions to each room (if you\u2019re assigning different exercises) or the group as a whole.<\/span><\/p>\n<h3><strong>2. Keep breakouts short\u00a0<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Remember, breakouts should be used as smaller parts of a larger session. Keep them as brief as possible to break things up without disrupting the flow of the main meeting. While you may occasionally design longer breakout sessions, an ideal length is five minutes or less.<\/span><\/p>\n<h3><strong>3. Share a grey space<\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Having a shared document with grey space is conducive to success when it comes to collaboration and participation. It can also assist with planning a new meeting down the line if you retain those names.
